Maintenance Planner and Scheduler

GENERAL PURPOSE

The comprehensive planning and co-ordination of all maintenance and maintenance related works

to ensure that the maintenance department operates efficiently, effectively and in accordance with

best industry and company practices and standards without comprising SLA timelines. The ultimate

aim for the maintenance department is to provide superior world class customer service.


RESPONSIBILITIES


  • Advanced planning and co-ordination of job card execution of jobs created by staff and/or
  • tenants via the South Point Maintenance App
  • Planning and co-ordination of (including but not limited to) preventive, reactive, planned,
  • unplanned, emergency and life cycle maintenance works, this will comprise of equipment
  • services as per manufacturer requirements, failure tracking and trend analysis, etc.
  • Planning and co-ordination of resources to ensure efficient and productive teams as well as
  • overall cost efficiency i.e. ensuring value of money is achieved
  • Ensure all works are planned in advance to reduce waiting times
  • Prioritisation of maintenance and related works in line with SLAs and on potential of a
  • complete failure
  • Create/develop project plans and programmes for maintenance projects to ensure SLA
  • timelines are strictly adhered to
  • Ensure SLA timelines are correctly set-up and are reasonably practical
  • Ensure job cards are assigned correctly and timeously i.e. to the correct team member,
  • contractor, etc.
  • Manage SLA timelines for internal and external works and report delays and/or poor
  • performance to management immediately
  • Ensure all warranties and guarantees are honoured and that its validity conditions are met at
  • all times.
  • Contract and project management to ensure works are delivered timeously and in line with
  • company quality standards and budgets
  • Report all system faults and bugs to management timeously
  • Create/develop new processes to enhance efficiency
  • Propose solutions to management regarding challenges and bottlenecks, where approved,
  • implement, execute and report on performance
  • Provide daily, weekly and monthly performance reports with challenges and solutions
  • thereof
  • Ensure overall works management is in sync with availability of resources, this includes
  • stock, equipment, machinery and tools availability and procurement thereof, this will
  • require significant planning and co-ordination with procurement and stores teams
  • Create/develop and manage all maintenance libraries
  • Co-ordination of inspections for completed works in aid of delivering high quality work
  • Ensure compliance of all health and safety matters in line with relevant SANS, OHS and
  • building acts in conjunction with health and safety officer
  • Provide timeous and meaningful budget and related input
  • Management and remedying of asset registers, data integrity and security thereof
  • All other ad hoc tasks and responsibilities as assigned by management


Meetings: 

  • Attend meetings punctually and be well prepared to actively participate and provide
  • meaningful inputs
  • Set-up meetings timeously/in advance to address any concerns and/or red flags
  • Relationship Management:
  • Ensure effective and timeous communication both internally and externally
  • Ensure relevant staff and departments are informed timeously and are updated regularly on
  • facility interruptions, down times, shut downs, maintenance works, etc.

EDUCATION

  • Matric
  • Diploma or Degree in Facilities Management will be an advantage


EXPERIENCE

  • At least 3 to 5 years’ experience  related to role of Planner and Scheduler
  • Office Administration
  • Excellent record keeping track record (filing and preparing for audit inspections)
  • Financial Acumen
  • Intermediate to advance knowledge in Excel
