Financial Accountant

GENERAL PURPOSE

Maximizing Shareholder returns though Financial Management, Information Technology Infrastructure and asset accumulation and receivables collection. To deliver fit-for purpose buildings with the highest return on investment. The Financial Accountant is responsible for overall staff supervision, general ledger reconciliations and daily management of accounting department functions.


RESPOSIBILITIES

ROLE OUTPUTS (Key Performance Areas)


General Ledger

•              Reconcile all Balance sheet accounts (re: monthly movements).

•              Prepare monthly recon file for management reporting purposes.

•              Investigate variances / unusual fluctuations in all GL accounts.

•              Perform analytical review of all income statement accounts (CM:PM: %VAR).


Fixed Assets

•              Ensure all creditors invoices captured re: Fixed Assets have been ticked “track as asset” and    captured against correct asset book and correct clearing accounts.

•              Ensure CAPEX is posted to FAR not R&M / expense nature items.

•              Ensure correct VAT disclosed on VAT returns (Capital Input) captured on invoice.

•              Post all fixed assets to assets module and post to GL.

•              Run monthly asset depreciations.


Payroll

•              Check correctness of payroll journal.


Creditors / Payables


•              Confirm correctly captured into the appropriate Oracle GL accounts by completing batch reviews and approvals (in conjunction with creditors supervisor) and correcting misallocations (detailed account analysis).

•              Confirm correct tax codes captured (ensuring correct vat claimed).

•              Supervise creditors staff:

o             Ensure creditors prepare monthly recons for ALL suppliers.

o             Ensure adherence to controls imposed (Budget tracking / PO requests etc.).

o             Ensure Order Tracking system is adhered to.

o             Ensure compliance of Authority Limit Matrix - ensure expenditure is authorised by the right          people.

o             Ensure deadlines for payment cycles adhered to (pmt summary/ capturing and recons submitted on time).

o             Ensure monthly creditors facility report is up to date.

o             Ensure creditors database up to date.

o             Implement vendor maintenance in oracle for identified issues.

o             Ensure purchase order reports are up to date.

•              Provide support if creditors staff are off during an extended period with regards to capturing / recons / payment processing.

•              Reconcile the Creditors Control to the GL (as well as all sundry payable control accounts).

o             Investigate long outstanding items on creditors age analysis to ensure appropriate corrections are processed.

o             Investigate Refund AP invoices for items requiring reversal.

•              Reconcile and correct the clearing accounts.


Debtors / Receivables 

•              Review and follow up on weekly reports of incomplete invoices.

•              Analyse reasons why expected revenue ≠ actual revenue.

•              Examine unapplied and unidentified on a daily basis.

•              Reconcile the debtors age analysis to the control accounts (GL) (as well as recons re: sundry receivable accounts).

•              Review and recon inter-company account on a weekly basis.

•              Submit payment for intercompany accounts on a weekly basis.

•              Reconcile and correct the clearing accounts.

•              Review and recon the Tenant deposits schedule to the GL.

•              Reconcile normalisation adjustment required on leases and process corrections as necessary.


Cash and Bank Recons

•              Assist with MM transfers as and when required.

•              Provide assistance for statement uploading into Oracle if required when staff are on leave.

•              Review Petty Cash Journals and recons.

•              Provide assistance as to unreconciled items.

•              Inspect recons for unreconciled payments that require processing by creditors staff.

•              Review payment runs for final release




VAT and Loans

•              Prepare monthly VAT recons.

•              Submit returns on e-filing.

•              Prepare VAT payments by 25th of each month for future dated release at month end.

•              HIFSA: Reconcile loan balances per property monthly.

•              Review interest journals captured for correctness and agree to amortisation schedules.


Year end

•              Prepare of year end schedules for audit purposes (link to GL recon file).

•              Provide information as requested by auditors.


Staff Supervision

•              Supervise Finance Staff:

o             Ensure regular weekly staff meetings are held.

o             Perform quarterly staff performance reviews.

o             Ensure deadlines are adhered to regarding report submissions by all members of the team.

•              Provide assistance re: Intake and Vacate periods i.r.o finance related activities for student admin department.

•              Provide assistance re: ad-hoc reports/information required.

o             Provide Cash flow forecast information requests weekly.

•              Provide assistance re: management account preparation as instructed by FM / GFM.

•              Ensure staff are up-skilled and coached.


EDUCATION

  • 3 Year degree (B. Com Accounting) or similar qualifications
  • Honours Degree would be an added advantage


EXPERIENCE

  • 3 - 5 years of work experience with a focus on Financial Accounting
  • Financial Accounting
  • People Management
  • Understanding of the property sector would be advantageous
  • Accounting Knowledge
