Facilities Clerk of Works

GENERAL PURPOSE

To ensure all inter-departmental administrative requirements between the Facilities and Asset Management Departments are duly completed and to provide administrative support to the Project and Asset Managers. 


RESPONSIBILITIES

  • Providing administrative support of the Management teams as and when required;
  • Supporting both departments with the sourcing and/ or processing of Purchase Order/quotes/invoices via Oracle and otherwise;;
  • Providing administrative support on CapEx and Special OpEx projects to be undertaken by Project Managers and Facility Managers;
  • Providing administrative support in relation to the Enterprise & Supplier Development programme;
  • Assist in the tracking of Capex and Special OpEx project expenditure
  • Maintaining an accurate and updated contracts and SLA library;
  • Maintaining an accurate and update library of all Building related documents for the portfolio (e.g. building plans, certificates etc.);
  • Maintaining an accurate and update library of all relevant supplier/ contractor/ service provider document (e.g. brochures, contract documents etc.)
  • Recording of project and departmental meetings, and timely distribution of minutes/ notes for the meetings.
  • Executing on travel arrangements (flight, accommodation etc) as and when required
  • Ensure that in turn you cross pollinate your functions so that they can cover your post when you’re absent;
  • During the high maintenance season (mid-November to mid-February annually) week-end work is mandatory); and
  • All other ad hoc tasks and responsibilities as assigned by Management.


EDUCATION

  • Matric
  • Diploma in admin/facilities an added advantage


EXPERIENCE & SKILLS:

  • Administration Knowledge
  • At least 3 years’ experience
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office suite
