GENERAL PURPOSE
You will be responsible for welcoming visitors and maintain a professional image at all times. You will also have a key role in a facilities team to supply information to the visitors, tenants/customers and the public, while ensuring their safety. Electronic and telephonic communication with the tenants and various suppliers within the building.
RESPONSIBILITIES
• Ensure friendly welcoming and appropriate reception of visitors
• Direct visitors to the correct destination
• Ensure that the visitors sign the visitor register for arrivals and departures.
• Maintain a neat and orderly reception area including organisation of any tenant post and/or deliveries.
• Monitor security activities and CCTV and ensure CCTV is on at all times
• Report to the building manager and other relevant stakeholders any faults in the building which include but not limited to:
o Biometric system
o Lifts
o Fire Alarm
• Contact approved suppliers for purposes of work flow and/or to quote on restoration
• Ensure all incident are logged on the Occurrence Book (OB) as per Company procedure
• Report to your line manager should any of the electronic equipment in the reception fail or go into down time
• Ensure access control in and out of the building.
• Deal with queries from the public, customers and visitors.
• Manage and handle all parking and parking related queries including reporting on daily parking ratios
• Immediately report any suspicious behaviour to the line manager and the head officer immediately and ensure OB entries are logged at all times
• Manage all mail
• Manage the visitor programme and record visitors to the building
• Message Managing
• Loading of maintenance and other such like onto the South Point App
• Execute any ad hoc tasks and responsibilities assigned to you, as per order of management.
• Be available to support the Facilities and Maintenance Administrator should the need arise
